Job Summary
The EBC Manager is responsible for preparing event documentation and coordinating with Sales, property departments and customers to ensure consistent, high-quality service throughout the pre-event, event and post-event stages.
The role primarily handles events of average complexity and ensures a seamless transition of events from Sales to service and back to Sales. The position also identifies opportunities to maximise revenue through upselling and event enhancements.
Core Responsibilities
Managing Event Logistics and Operations
- Ensure events progress smoothly by following established procedures and collaborating with relevant employees.
- Greet customers during the event phase and hand over to the Event Operations team for execution.
- Adhere to all company standards, policies and procedures.
- Ensure billing accuracy and conduct bill reviews with clients before final processing.
- Manage group room blocks and meeting spaces for assigned groups ranging from average to large-sized events.
- Identify operational challenges associated with assigned groups and work with property staff and customers to develop appropriate solutions.
- Apply current trends in event management and event design where appropriate.
- Act as a liaison between field sales representatives and customers throughout the pre-event, event and post-event stages.
- Participate in customer site inspections and assist with the sales process as required.
- Solicit feedback from property departments to identify areas for improving the Event Planner’s experience.
- Perform other duties as assigned to meet business needs.
Ensuring Exceptional Customer Service
- Deliver excellent customer service throughout the customer experience and encourage the same from other employees.
- Empower employees to provide high-quality customer service.
- Set a positive example in guest relations.
- Coordinate and communicate event details verbally and in writing to customers and property operations teams.
- Maintain a visible presence with customers throughout the event process.
- Oversee customer experiences from file turnover through the post-event phase and back to Sales.
- Follow up with customers after events.
- Respond to and resolve guest problems and complaints.
- Use professional judgement and expertise to enhance the customer experience.
- Remain available to resolve problems and suggest alternatives where necessary.
- Use customer feedback to develop action plans for continuous service improvement.
- Emphasise guest satisfaction during departmental meetings.
- Interact with guests to obtain feedback on product quality and service levels.
- Ensure hourly employees understand expectations and requirements for event activities.
Leading Event Management Teams
- Conduct formal pre-event and post-event meetings as required to review and communicate group requirements and feedback.
- Lead pre-event and post-event meetings for assigned average to large-sized groups.
- Facilitate meetings such as Banquet Event Order meetings and block reviews where necessary.
Supporting Sales and Marketing
- Assist with the sales process and revenue forecasting for customer groups.
- Upsell products and services throughout the event process.
- Forecast group room requirements and event revenue, including catering and audiovisual services.
Human Resources Activities
- Review comment cards and guest satisfaction results with employees.
- Observe employee service behaviours and provide feedback to employees and managers.
- Assist with the development and implementation of corrective action plans.
- Use professional experience and judgement to improve service performance.
- Work with property staff and customers to address operational challenges associated with assigned groups.
- Perform other duties as assigned to meet business needs.
Requirements
Candidates should meet one of the following qualification and experience combinations:
- High School Diploma or GED with 1 – 2 years of experience in event management or a related professional area.
OR
- Two-year Degree from an accredited university in Hotel and Restaurant Management, Hospitality, Business Administration or a related field, with at least 1 year of experience in event management or a related professional area.
