About the Role

Koolboks is seeking a highly driven, resourceful, and hands-on Supply Chain Manager to lead and optimise the company’s end-to-end supply chain and import/export operations.

The role is ideal for an individual who thrives in a fast-paced startup environment, is comfortable building and improving processes, and has practical experience managing complex supply chain activities, including international procurement, sourcing, importation, warehousing, inventory management, distribution, and last-mile delivery.

Experience in the renewable energy, clean technology, manufacturing, or related sectors is strongly preferred.

The successful candidate will play a critical role in ensuring products move efficiently from global and local suppliers to customers while maintaining high standards of inventory accuracy, operational excellence, cost efficiency, regulatory compliance, and customer satisfaction.

Key Responsibilities

Supply Chain Management

• Manage the end-to-end supply chain, including procurement, international sourcing, importation, exportation, inbound logistics, warehousing, inventory management, distribution, and last-mile delivery.
• Develop and execute supply chain strategies that improve operational efficiency, reduce costs, enhance service delivery, and support business growth.
• Establish and continuously improve supply chain processes, policies, and standard operating procedures.
• Monitor product availability and ensure timely replenishment to meet customer and business requirements.
• Identify supply chain risks and develop effective mitigation and contingency plans.
• Analyse supply chain performance metrics and implement continuous improvement initiatives.

Procurement & Supplier Management

• Develop and manage relationships with local and international suppliers to ensure competitive pricing, quality, availability, and timely delivery.
• Lead supplier sourcing, evaluation, negotiation, onboarding, and performance management.
• Negotiate commercial terms, payment terms, lead times, minimum order quantities, and delivery schedules.
• Monitor supplier performance and resolve issues relating to quality, pricing, delays, shortages, or non-compliance.
• Maintain an up-to-date supplier database and ensure appropriate supplier documentation and due diligence are completed.
• Identify alternative suppliers and sourcing opportunities to reduce supply risks and improve cost efficiency.

Import & Export Operations

• Coordinate and manage import and export activities, ensuring compliance with customs regulations, trade policies, shipping documentation, and applicable local and international laws.
• Manage documentation required for international shipments, including commercial invoices, packing lists, bills of lading/airway bills, certificates of origin, permits, and other relevant documentation.
• Coordinate with customs brokers, freight forwarders, shipping lines, clearing agents, and relevant regulatory authorities.
• Monitor shipments from origin through customs clearance and final delivery.
• Identify and resolve customs, documentation, shipping, or clearance issues that may delay the movement of goods.
• Ensure accurate calculation and monitoring of freight, duties, taxes, clearance costs, and other landed costs.

Demand Planning & Forecasting

• Collaborate with Sales, Finance, and Operations teams to develop accurate demand forecasts.
• Translate sales forecasts and business requirements into procurement and inventory plans.
• Monitor changes in demand and adjust procurement and replenishment plans accordingly.
• Identify potential stock-outs and excess inventory risks and take corrective action.
• Support business planning by providing supply availability, lead-time, and inventory insights.
