Role Overview
The Associate, Global Admin will ensure seamless office operations and strict adherence to global standards. The role requires a highly analytical and results-driven professional who can proactively identify and eliminate operational inefficiencies.
The successful candidate will take ownership of administrative initiatives and office-related projects, ensuring timely and cost-effective delivery without disrupting core business operations.
Key Responsibilities
Project Management and Execution
- Own and deliver office-related projects end-to-end, including facility upgrades, office moves and system implementations.
- Define project scopes, timelines, budgets and dependencies while actively managing risks.
- Provide concise, fact-based progress updates, including blockers, corrective actions and escalation recommendations.
- Ensure projects are delivered on time, within budget and with minimal disruption to business operations.
Procurement and Vendor Management
- Execute procurement activities strictly in line with company SOPs, including vendor onboarding and KYC requirements.
- Prepare and submit Procurement Forms for COO approval before any purchase or commitment.
- Maintain accurate vendor records and ensure timely invoice and payment processing.
Travel and Logistics Coordination
- Coordinate end-to-end travel logistics for staff and visitors, including visas, accommodation and local transportation.
- Manage the local transport fleet, ensuring servicing, compliance and fuel controls are maintained.
Compliance and Regulatory Liaison
- Ensure adherence to local regulatory requirements and global compliance standards.
- Liaise with statutory bodies, including the Police, Fire Services and relevant regulators, to maintain continuous office compliance.
Requirements
Education and Experience
- University degree in a relevant field.
- Additional professional certifications in Project Management or Administration are an advantage.
- Proven ability to manage multiple workstreams simultaneously in international and standards-driven environments.
- Demonstrated ability to identify process gaps, reduce waste and improve operational efficiency.
