Job Overview
- The State Finance & Admin Associate is responsible for providing comprehensive accounting, administrative and logistical support to the state office.
- The ideal candidate will manage daily administrative and financial tasks, ensuring strict compliance with organisational policies and procedures while providing effective support to the team.
- The Finance & Admin Associate will work closely with the Finance Officer to coordinate operations, manage financial transactions and maintain accurate records in the state.
Responsibilities
- Prepare payment vouchers and schedules for vendors and participants.
- Properly code all transactions.
- Maintain administrative and accounting files.
- Follow up on outstanding vendor payments and ensure timely reconciliation.
- Ensure accurate and timely posting of all financial transactions into QuickBooks.
- Ensure entries are accurately and timely recorded in project activity tracking logs.
- Ensure timely and accurate management of tax payments and other statutory obligations at the state level.
- Support the arrangement of hotel accommodation for staff, participants and consultants visiting the state for assignments.
- Assist in organising the dispatch of goods and equipment when required, ensuring that packing lists, waybills and export documentation, where necessary, are prepared and shipping details are promptly communicated in writing to the receiver.
- Manage calendars, ensuring conference rooms are booked and meeting, conference and activity logistics are arranged and records are regularly updated.
- Arrange workspaces for new employees, ensuring desks, chairs and other required items are available on their start date.
- Support inventory and asset management.
- Coordinate approved Activity Profiles, ensuring materials, equipment and other requirements are organised and ready for activities.
- Support the coordination of procurement and engagement of vendors for goods and services in the state.
- Coordinate catering services for official functions within and outside the office location.
- Monitor the consumption of project resources, including petrol, electricity, water and telephone services.
- Ensure compliance with MSH policies and procedures, including internal control systems, donor-funded guidelines and Nigerian Government regulations.
- Prepare monthly administrative and financial reports as requested by the supervisor.
- Ensure month-end and year-end activities are completed accurately and in compliance with MSH policies and procedures.
- Perform any other task assigned by the supervisor.
Qualifications & Requirements
- Bachelor’s Degree in Finance, Accounting or a related field.
- 2–4 years of experience in Accounting, Finance and Administration.
- Proficiency in QuickBooks.
- Experience working with a large, complex organisation is required; familiarity with international NGOs is preferred.
- Understanding of key aspects of accounting.
