Job Purpose
The Human Resources Associate will manage key Human Resources services and operations within the designated division while ensuring compliance with labour laws, company policies and agreements with third parties.
Core Responsibilities
Recruitment Documentation and Activities
- Ensure recruitment activities comply with company policies and procedures.
- Manage recruitment processes, including vacancy budgeting, job postings, interview coordination, personality assessments, candidate care and medical checks.
- Ensure credible candidates are recruited.
- Manage recruitment documentation, including biodata, guarantor and reference checks, onboarding documents and offer letters.
- Ensure employees have the tools and working conditions required for effective performance.
- Prepare recruitment reports, workforce planning and recruitment trackers.
Payroll Management and Benefits
- Prepare and deploy monthly payroll and ensure salaries, benefits and allowances are paid accurately and promptly.
- Gather and review manpower reports from stores and business units.
- Prepare pre-payroll variance reports covering new hires, disengagements, leave and absence deductions, disciplinary actions, promotions and salary reviews.
- Ensure approved payroll inputs are accurately entered into the HR Information System.
- Prepare payroll, bank payment, pension, tax, reimbursables and statutory deduction reports.
- Handle new-hire and termination computations in line with company policies.
- Resolve payroll enquiries relating to salaries, allowances, refunds, taxes and other issues.
Reward, Recognition and Employee Welfare
- Prepare incentive schedules for stores, business units and area managers.
- Coordinate employee recognition activities.
- Ensure employees are registered under the company HMO programme and resolve HMO-related issues.
- Manage distribution and replacement of uniforms and accessories.
- Manage staff meal processes and documentation.
- Track and follow up on staff-related incidents.
- Assist with staff forums and employee engagement activities.
Disciplinary and Grievance Management
- Ensure compliance with performance improvement and misconduct management procedures.
- Coordinate investigations, disciplinary hearings and appeals.
- Track employee grievances and provide periodic status reports.
- Maintain appropriate records of disciplinary outcomes.
- Handle employee complaints fairly and thoroughly.
- Take appropriate HR action where absenteeism becomes excessive.
Performance Appraisal and Records Administration
- Conduct performance appraisals across business divisions in line with the company’s performance management system.
- Prepare reports on appraisal outcomes, recommendations, exits, transfers and probation.
- Maintain staff records, documents and files.
- Track movement of employee files and documents.
- Ensure relevant correspondence, memos, reports and certificates are properly recorded.
- Perform other related duties as assigned.

- Time to fill vacancies (Target vs. Actual).
- Number of internal and external audit exceptions.
- Labour turnover rate (Target vs. Actual).
- Time taken to complete tasks and projects, including salary timelines.
Knowledge and Skills
- Knowledge of labour laws.

Job Specifications
- Minimum of a University Degree or equivalent in Industrial Relations and Labour.
- Membership of the Chartered Institute of Personnel Management (CIPM) or another relevant professional qualification.
- 2–4 years’ working experience in the HR field.
