Role Overview

Under the supervision of the Principal Officer, Internal Services, the Administrative Officer will coordinate administration, facility management, procurement, and protocol functions within the Office of the Auditor General of ECOWAS Institutions (OAG).

The successful candidate will assist the line supervisor in ensuring that OAG operations comply with relevant ECOWAS regulations, policies, and procedures, while also performing other duties assigned by the Supervisor.

Key Responsibilities

  • Coordinate the day-to-day execution of administrative tasks, including secretarial services, travel, document management, procurement, office supplies, fleet management, protocol, and related services.
  • Serve as a point of contact and provide administrative support to OAG service providers, business partners, and collaborators.
  • Assist the Supervisor in developing procedures and practices that promote smooth, efficient, and productive OAG operations.
  • Prepare and organise procurement and contracting activities, including procurement plans, advertisements, tender management, contract management, materials management, and related activities to achieve optimum value for money.
  • Support the smooth operation of administrative functions covering the work environment, office space, equipment, and information retrieval systems.
  • Assist in identifying operational needs and developing and implementing rules to facilitate workflow processes.
  • Provide information to staff regarding office administration procedures, processes, and practices.
  • Provide technical and logistical assistance in organising activities.
  • Assist the Supervisor in coordinating and reviewing the work of subordinates.
  • Assist with staff performance appraisals and make recommendations for training and development.
  • Perform other duties as assigned by the Supervisor.

Academic Qualifications and Experience

  • Minimum of a Bachelor’s Degree or equivalent from an accredited university in Business Administration, Management, Social Sciences, or a related discipline.
  • A Master’s Degree, postgraduate qualification, or professional certification in Management, Public Administration, or a related field is an added advantage.
  • Minimum of five years’ progressively responsible professional experience in administration, procurement, fleet management, logistics and supply chain management, or a related area.
  • Relevant work experience in an international or multicultural organisation, together with broad skills in administration, human resources, and information technology, is highly desirable.
  • Hands-on experience using enterprise resource planning and document management software such as SAP, ECM, or similar platforms is an added advantage.

  • Applicants must be below 45 years of age.

Assessment Method
