Hortigraph Nigeria Limited is an indigenous multi-disciplinary production, engineering, construction and consulting company engaged in diverse sectors of the Nigerian economy.

The company is recruiting an Executive Secretary to provide high-level executive and administrative support to the Managing Director and Executive Management Team. The role involves managing schedules, correspondence, travel arrangements and strategic documentation while serving as a key liaison between the Executive Office and internal and external stakeholders.

Key Responsibilities

  • Manage the executive’s calendar, appointments, meetings and business engagements.
  • Screen and respond to emails, phone calls and correspondence while prioritising urgent matters.
  • Prepare reports, presentations, meeting agendas, minutes and other business documents.
  • Coordinate meetings, follow up on action items and track the implementation of management decisions.
  • Liaise with internal departments and external stakeholders to facilitate communication and information flow.
  • Arrange travel logistics, including flight bookings, accommodation, transportation and itineraries.
  • Monitor executive tasks, deadlines and key deliverables to ensure timely completion.
  • Handle administrative requests and provide day-to-day support to the Executive Office.
  • Manage visitors, official correspondence and other executive office activities professionally.
  • Manage corporate records, policies, contracts and regulatory documentation.
  • Ensure accurate document control, compliance, information security and up-to-date statutory records in line with organisational and legal requirements.
  • Maintain absolute confidentiality when handling sensitive executive and corporate information.

Requirements

  • Bachelor’s Degree in Secretarial Administration, Business Administration or another relevant social science field.
  • Professional certification in Administrative Management, Secretarial Studies or Executive Assistance is an added advantage.
  • 2–3 years’ experience in an Executive Secretary, Executive Assistant or Administrative Officer role.
  • Experience supporting senior executives is highly desirable.
  • Strong knowledge of office administration and executive support functions.
  • Excellent organisational, communication and time-management skills.
  • Strong attention to detail and ability to handle confidential information.

Salary

N150,000 – N250,000 monthly.
