Responsibilities

  • Ensure compliance with purchasing processes, internal company rules, and applicable laws and regulations.
  • Give particular attention to safety materials and ensure all testing, certification, identification, and other safety requirements are met.
  • Contribute to the reporting of Key Performance Indicators (KPIs).
  • Ensure Purchase Orders clearly specify applicable QA/QC requirements for suppliers, including mill/test certificates, MSDS, and other required certificates.
  • Follow up Purchase Orders through to handover to Transit for FCA Incoterms or Techlog reception for DDP Incoterms.
  • Obtain acknowledgement of receipt for Purchase Orders from suppliers.
  • Monitor suppliers to ensure timely delivery in accordance with applicable Incoterms.
  • Follow up supplier PO Readiness notifications to the Buyer and Transit before delivery of goods to the Freight Forwarder.
  • Monitor Goods Receipt (GR103) creation against contractual delivery dates.
  • Clarify discrepancies between materials delivered by suppliers and Purchase Order specifications.
  • Expedite new, missing, or returned documents and drawings from vendors, contractors, and engineering teams.
  • Identify and escalate supplier and contractor documentation issues to Buyers and the User Entity.
  • Proactively identify potential delays and take appropriate action to help meet contractual delivery dates.
  • Maintain accuracy of all expediting activities and records.
  • Serve as the focal point for communicating, maintaining, and updating supplier delivery commitments recorded in Purchase Orders.
  • Review PO Readiness Checklists, identify potential problems, and escalate issues to the Technical Entity for validation or further action.
  • Analyse delivery delays and estimate applicable liquidated damages where necessary.
  • Identify disruptions in supplier submission and delivery schedules.
  • Verify supplier-reported progress and ability to meet delivery obligations through regular communication.
  • Ensure the latest delivery information is maintained and communicated to the Buyer and Technical Entity for project schedule updates.
  • Develop and implement material management and control plans and procedures.
  • Perform additional expediting and material management functions as required to support the C&P team.
  • Ensure compliance with company rules, SOX requirements, and applicable local regulations.
  • Provide timely and up-to-date information to stakeholders for planning purposes.
  • Comply with H3SE rules, procedures, instructions, and applicable legislation.
  • Participate actively in H3SE meetings, training sessions, and drills.
  • Implement H3SE clauses within C&P documentation.

Requirements

  • Degree in Engineering, Management, Social Sciences, preferably Purchasing and Supply, or a related discipline.
  • Minimum of 7 years’ experience in the oil and gas industry and supply chain functions.
  • Membership of relevant professional bodies in Supply Chain or operational functions is an added advantage.
  • General knowledge and understanding of commercial, legal, and insurance issues affecting the company.
  • Good command of the English language.
  • Excellent communication and interpersonal skills.
  • Strong organisational, analytical, and follow-up skills.
